Registration

Vendor registration:
Each stand includes two complimentary vendor registrations, which provide access to Ahi Kā (10 - 13 April) and a ticket to the Welcome Function (Thursday 9 April). You may also purchase the daily catering package and tickets to other social events through the online registration form.

You must register your onsite team by completing the online registration form. All onsite staff must be registered by Tuesday 17 March.

Catering:
Conference kai is not included in your registration. Vendors must provide their own kai during the conference.

Please note that commercially prepared foods that are not wrapped or packaged (e.g. takeaways, hot food bought off-site, etc.) cannot be eaten in the venue. Homemade kai and commercially wrapped or packaged food (e.g. muesli bars, fruit, etc.) can be consumed in the venue.

There are also onsite catering options available:

  • Daily conference kai – fabulous and fresh morning tea, lunch, and afternoon tea for $50.00 + GST p/p. The day catering package must be purchased in advance through the registration form.
  • Zephyr Café, Ground floor of Tākina – Zephyr has plenty of delicious cabinet options, as well as a full-cooked breakfast and lunch menu

Social functions:

Your Vendor registration includes a complimentary ticket to the Welcome Function. Additional social function tickets can also be purchased.

  • All vendor onsite staff are to be registered by completing an online registration form.
  • Loading dock pack in delivery time (if you are bringing in your own vehicle) to be arranged with Tākina.

  • Earliest date for freight to arrive at Tākina - Wednesday 8 April
  • Vendor pack in 11.00am - 4.30pm on Thursday 9 April
  • Vendor pack out from 2.00pm on Monday 13 April
  • Last date for freight collection (by 4pm) on Tuesday 14 April

Ahi Kā vendor stand information

  • 2.5m x 2.5m space (no walls)
  • 1x 1.8m x 0.7m trestle table and 2x chairs
  • 1x 10 amp power supply with 4-pin multi-box power point
Your stand does not include:
  • Point of Sale system and financial handling – Vendors are responsible for providing their own POS system and collecting, managing, and securing all financial payments associated with their stand

Deliveries will only be accepted from Wednesday 8 April. Please ensure your packages are clearly labelled, using the Tākina's delivery label below.

Vendor pack out
Pack out begins Monday 13 April, from 2.00pm. Pack out CANNOT commence any earlier than 2.00pm.


Health and safety

Ensuring the health and safety of all workers, vendors, and delegates is a top priority at the Rural WONCA Conference.

Ahi Kā access and safety requirements

All attendees must comply with the following requirements:

  • Access times: You may not enter your stand before the allocated pack-in time or before the exhibition build is complete. At the end of the conference, pack-out is only permitted during the allocated time, after Conference Innovators and Tākina Wellington Convention and Exhibition Centre have inspected the venue.
  • Safety gear: A high-visibility vest must be worn during pack-in and pack-out.
  • Electrical equipment: All electronic items (e.g., laptops) must be ‘tagged and tested’ by a qualified electrician and be up to date. Untested or expired items will be removed.
  • Security: All attendees and Ahi Kā staff must wear their official conference name badge at all times. Any bags or exhibitor items left in storage must be logged and signed for. Suspicious items may be removed. Security procedures may change without notice.
  • Health and safety compliance: All workers, contractors, and vendors are expected to act safely and comply with current health and safety legislation. Failure to comply with venue or conference requirements, or unsafe behaviour, may result in removal from your stand.

Tākina health and safety induction

Please ensure you complete the Tākina Wellington Convention and Exhibition Centre’s health and safety induction by Monday 23 March.

All vendors must ensure at least one representative per stand completes the Health and Safety Induction. Non-compliance will prevent the stand from setting up at Tākina Wellington Convention and Exhibition Centre.

Rural WONCA Conference vendor obligation form

The Rural WONCA Conference vendor obligation form must be signed and sent to teoranoa@conference.nz by Monday 23 March.
